The Administrative Assistant provides high-level support to the Chief Operating Officer (COO) in handling a wide range of administrative and executive support-related tasks. The Assistant will be a highly resourceful team-player, who is comfortable working in a fast-paced environment, sometimes under pressure, while remaining flexible, proactive, and efficient. The individual will have the ability to exercise good judgment in a variety of situations, with strong written and verbal communication, administrative, and organizational skills, and the ability to maintain a realistic balance among multiple priorities. The associate is required to perform all tasks in a safe manner consistent with company policies, state, and federal laws.


The associate is responsible for the functions below, in addition to other duties as assigned:

  • Completes a broad variety of administrative tasks for the COO including; managing an extremely active calendar of appointments; completing expense reports; composing and preparing correspondence that is sometimes confidential; copying, reviewing outside mail, scanning and filing documents, screening phone calls and visitors, updating Outlook contacts, maintaining executive files, arranging detailed travel plans, itineraries, and agendas; and compiling documents for travel-related meetings.
  • Use discretion, confidentiality and independent judgement in connection with performing duties and responsibilities.
  • Anticipating the executives’ needs and proactively bringing together appropriate people and resources to support the executive in addressing these issues.
  • Completes critical aspects of deliverables and special assignments by establishing objectives; determining priorities; managing time; gaining cooperation of others; monitoring progress; problem solving; making adjustments to plans.
  • Represents the executives by welcoming visitors, arranging company dinners and other company functions; answering questions and meeting requests directed to the executive Store Support Center.
  • Act as the COO's representative when dealing with internal customers and departments, outside community partners and other third parties that interact with the organization.
  • Assists in coordinating the agenda of senior management team meetings and off-sites, and all staff meetings.
  • Work with direct reports of the COO, may be required to travel to other locations.
  • Prepare presentations and other materials for board and committee meetings and quarterly all staff meetings; collaborate with other Executive and Administrative Assistants as needed.
  • Managing external contacts; proactively understanding who they are, who the primary contacts are, and keeping track of periodic communication needed for primary contacts.
  • Ensure all phone calls and emails are answered and/or redirected accordingly in a professional manner; backup for phone coverage as needed.
  • Prepare communications, reports and PowerPoint presentations for COO and other Executives and the organization as needed.
  • Assist in community-focused events as necessary.
  • Assist in other areas of the organization as needed.
  • Perform other duties as assigned.

Job Qualifications

High school diploma or general education degree (GED) required. Minimum 3 years’ experience supporting an executive or previous secretarial experience required.
