The Management and Organization (MOR) Department at the Marshall School of Business is focused on teaching and research in an interdisciplinary format in the fields of Organizational Behavior, Strategy, and Organizational Theory. Our 33 full time and 10 part time faculty have a variety of backgrounds, including psychology, sociology, economics, and general management/strategy. We are a collaborative and inclusive group of scholars. MOR is looking to recruit a Project Specialist—Administrative to join the team. The successful candidate will manage department and PhD student accounting processes as well as several projects that support department operations.

Responsibilities and Duties

• Accounting
  • Department accounting management and reconciliation;
  • PhD STARS account management and reconciliation;
  • Contracts and Grants account management and reconciliation;
  • Labor Reporting;
  • Extensive use of Workday Financial System;
  • TravelCard and ProCard processing.

• Department Seminar Series; Recruiting Visits; and Department Meetings Coordination
  • Make travel and logistics arrangements;
  • Create zoom invitations, manage RSVPs and recordings for hybrid meetings;
  • Individual meeting scheduling for day of visit;
  • PhD and department recruiting management;
  • Maintain office Master Calendar and Vice Dean’s Faculty Calendar;
  • Update event mailing lists;
  • Send invitations and assist with meeting logistics for four department retreats.

• Administrative Projects
  • Commencement assignments and schedules;
  • Maintain MOR seminar website;
  • Manage Xerox user accounts;
  • Assist with office operations;
  • Faculty database (Digital Measures) management;
  • Annual shredding and cleanup projects;
  • Other projects as assigned.

Preferred Qualifications

• Strong written and oral communication; conflict resolution and relationship-building skills; organized and detail-oriented.
• Ability to be flexible and adaptable.
• Natural inquisitiveness and persistence, with the ability to draw on various data sources to investigate issues and identify solutions.
• High tolerance for ambiguous situations and demonstrated use of strong professional judgment.
• Experience in a higher education environment, preferably in the area of business.
• Prior experience in accounting, budget management and travel administration.
• Event coordination experience is a plus.
• Prefer experience with Workday Financial systems and SalesForce.

Minimum Qualifications

• Minimum Education: Bachelor’s degree
• Minimum Experience: 2 years
• Combined experience/education as substitute for minimum education.
• Minimum Field of Expertise: Experience in managing accounting and administrative projects, preferably within a university setting
• Preferred Experience: 3 years
