Reporting directly to the Manager, the Administrative Specialist will provide direct support to the clinicians and patients for the Children's Heart Center. Major duties include but are not limited to: surgical scheduling, obtaining prior authorizations, facilitating communication with referring physicians, acting as a liaison for the patients and clinicians in the practice, and referring patients to appropriate resources and providing follow-up through telephone and EPIC/Care Connect. Provides back up cash drawer reconciliation and cath scheduling. The Administrative Assistant demonstrates maximum flexibility and multitasking capabilities while working with staff as a team. Responsible to schedule, arrange and maintain complete travel, calendar and correspondence management for surgeon. Assists manager to maintain job standards and performance levels, and work with the clinic manager to resolve personnel problems and complaints/issues.


Strong verbal and written communication skills and ability to interact appropriately and congenially with staff, faculty, fellows, residents and patients/families.
Ability to independently make decisions in the absence of manager.
Ability to adjust to changing priorities, frequent interruptions, deadlines, emergencies and heavy workload. Strong working knowledge of personal computers and CareConnect system.
Skill in typing with accuracy and moderate speed.
Comprehension of medical terminology to a level permitting accurate preparation of scheduling patient procedures, interacting with physicians, patients and staff.
Basic organizational skills to ensure a workable, efficient office including multi-provider schedule management, electronic and paper records and files, etc.
Ability to handle confidentiality issues appropriately.
Expert knowledge of hospital billing and the ability to obtain prior authorizations, explain services and charges to insurance, patients and/or family.

Cardiology experience preferred.
Spanish speaking preferred.
