Position Statement

Under direction, performs technical secretarial and office support functions for the Site Superintendent at Illini State Park, LaSalle Lake, and Marseilles F&W sites.

Job Responsibilities

1. Performs technical secretarial and office support functions for the Site Superintendent at Illini State Park, LaSalle Lake, and Marseilles F&W sites:

  • Day travels and serves as support to all sites listed above.
  • Utilizes and tracks the annual budget, equipment purchases requests, and inventory control numbers through Microsoft Excel.
  • Balances petty cash records with bank statements and prepares petty cash and annual reports.
  • Reviews and posts information to established ledgers.
  • Uses pre-existing data bases to update and improve record keeping throughout the park.
  • Utilizes Microsoft Word, Excel, Outlook and Camping Reservation System in performance of duties.
  • Performs routine backups on programs.
  • Prepares vehicle and visitors, volunteers, donations. monthly reports.
  • Answers telephone calls and provides routine information concerning the sites.


2. Keyboards a variety of memos, letters, and reports for the site:

  • Establishes, organizes, and maintains a filing system for the site personnel and general office files.
  • Creates and updates formats for documents for the Site Superintendent and other site staff to utilize, including confidential materials such as staff performance evaluations, disciplinary actions, and other personnel forms.
  • Organizes and distributes incoming mail to the sites.
  • Schedules appointments and visits from the public to the site.
  • Makes travel and meeting arrangements for the site staff.


3. Maintains reservation records related to revenue obtained from donations, activity permits, permits to sell, camping and reservation fees:

  • Balances and totals out receipts from the Sites.
  • Deposits money and forwards checks to Springfield.
  • Balances account against the printout received at the end of each month.
  • Completes and retains all monthly automotive cost reports.
  • Projects commodities and contractual needs.
  • Prepares reports of balances when requested of each line item, and project if there will be surplus.

4. Performs timekeeping duties for various sites in Region 1 and maintains records for full and part time staff:

  • Prepares reports of overtime, compensatory time and differential pay.
  • Trains new employees to use timekeeping system.
  • Prepares and maintains schedules of employees.


5. Communicates and prepares appropriate documents for vendors:

  • Develops, advertises and contacts vendors for all maintenance contracts and options to renew.
  • Answers all vendor inquiries in person and on he phone.
  • Assists in the start of necessary documents to establish certification of documents when needed.
  • Coordinates and files all activity permits.


6. Performs other duties as required or assigned which are reasonably within the scope of the duties enumerated above.

Minimum Requirements

  • Requires knowledge, skill, and mental development equivalent to two years of secretarial/business college, or completion of high school and two years of related office experience, or two years of independent business experience.
  • Requires ability to keyboard accurately at 30 wpm.

Preferred Qualifications

  • Extensive knowledge of basic mathematics.
  • Working knowledge of the logic of computer programs.
  • Ability to follow oral or written instructions.
  • Extensive knowledge of office practices, procedures, and programs.
  • Extensive knowledge of composition, grammar, spelling, and punctuation.

Conditions of Employment
