We’re looking for an amazing Executive Assistant to fill this role, which is based in our Santa Clarita office. This is a hybrid work schedule opportunity.

You’ll be responsible for supporting the Chief Commercial Officer, and the Commercial Planning teams globally. Tasks include, but are not limited to, coordinating meetings; making travel reservations; collecting data from POLAR and competitor web sites; scheduling events such as quarterly meetings and Team Work celebrations; coding and tracking of team expenses and vendor invoices (including the onboarding of new vendors into the vendor maintenance system); proofing, distributing and responding to various correspondence, internal policy, and program release memos and company information; supporting team with IT requests, issues and follow up; mitigating onboarding and equipment challenges; assisting with presentation and internal memos in terms of preparation, distribution, and proofing; and supporting special projects.

Responsibilities

  • Calendar and meeting coordination for multiple executives
  • Travel (business and personal) coordination for multiple executives and additional team members
  • Markview and pcard coding and approvals
  • Expense report creation
  • IT requests and follow-up
  • Proofreading and distribution of policy, program release and promotional memos; aid with PowerPoint presentations
  • Monitoring Dayforce and time off requests for multiple team members
  • Facilitating FCRS, ship visits and concessions requests
  • Coordination and monitoring of T&E budgets for multiple departments
  • Assist with team building events
  • Assist with travel documentation, passports, visas, TSA
  • Assist with the completion of team projects

Requirements

  • Ability to prioritize and manage multiple tasks simultaneously in order to meet deadlines
  • Ability to maintain high level of confidentiality, accuracy, and attention to detail
  • Very strong written and verbal communication skills
  • Proficient in the use of MS Office (Outlook, Word, Power Point)
  • Working knowledge of Excel
  • Ability to remain neutral when asked to assess conflict or challenges
  • Willingness to collaborate outside of one’s comfort zone
  • Must be legally authorized to work in the United States. Princess is unable to sponsor or take over sponsorship of employment visas at this time (e.g., H-1B status).
  • Associates Degree preferred
  • 5 to 7 years supporting senior level management preferred
