Job Description
Provide executive level administrative support to the Director, Transportation Engineering Services and the Director, Central Shops and their teams. Transportation Engineering Services is part of the Reedy Creek Energy Services group and all are part of the Facilities and Operations Services organization within Disney Parks, Experiences and Products (DPEP).

Responsibilities :
- Handles all administrative responsibilities for the directors including but not limited to managing phones, contacts, calendars, meetings preparation, travel, expense reports, supplies and other general support services.
- Manage and maintain executive schedules with organization, consistency and efficiency.
- Develop relationships with key members of the RCES and Central Shops team as well as the broader FOS administrative support team.
- Prepare, file and track executive expense reports.
- Proactively identify scheduling conflicts and offer solutions/alternatives.
- Initiate and track the hiring process for all hourly and salaried Cast Members.
- Prepare invoices, reports, memos, letters, financial statements and other documents, using word processing, spreadsheet, database or presentation software.
- Create and manage a system of filing office records and documents, both digitally and in hard copy. File and retrieve corporate documents, records, and reports.
- Read and process incoming memos, mail and reports to determine significance and plan distribution.
- Completes SAP and Concur transactions as directed, including preparing reports.
- Assist in the preparation of special projects and presentations, materials, etc.
- Provides back-up support for other assistants including the Vice President’s office.
- Manage special projects as defined by the directors.
- Act as a ‘casual buyer’ of all office supplies for the department, and manage purchase orders and vendor contracts.
- Assist with on-boarding new employees.
Basic Qualifications :
- Strong verbal and written communication skills.
- Demonstrated strong organization and time management skills, with a focus on managing multiple calendars, assigning priorities and meeting deadlines in a fast-paced atmosphere.
- Candidate must be self-motivated with strong follow-up skills.
- Proficiency with Microsoft Office applications, SAP (Casual Buyer and SAP Workplace) are required.
- Must be able to work independently as well as assist other areas when needed.
- Strong partnering and networking skills.
- Demonstrated problem-solving and decision-making skills.
- Self-starter with the ability to anticipate needs, take initiative and proactively problem-solve.
- 3 years in a secretarial or office administration role.
- Proven ability to maintain confidential information and interface with all levels of management.
Preferred Qualifications:
- Prior experience supporting executive level management.
- Familiarity with the FOS organization.
Required Education :
- High school degree or equivalent
Preferred Education :
- Certified Administrative Professional certification or equivalent

It's not all fun and games it's not a vacation you will work almost 40 hours a week, especially in merch and food and bev. It's a struggle to balance work and school it can be done but it takes a lot of self-discipline
