POSITION LOCATION: BSU – Records & Registration Office

SHIFT & SCHEDULE: Unlimited Full-time; Monday - Friday 8:00 a.m. – 4:30 p.m.

POSITION PURPOSE:

To coordinate the publication of the class schedule, train department secretaries on course input guidelines
and the course input system, monitor adherence to established campus course creation guidelines, and
facilitate all on-campus changes made after the course creation deadline to ensure proper authorization of
request. Assistance with maintaining curriculum management and EMS processes will also be provided by
this position.

This position also exists to be a subject matter expert for students, staff, faculty, alumni, and community
members on institutional and campus registration policies and procedures and coordinates office phone
coverage.

This position oversees the student worker selection, responsibility distribution, time sheets, and budget. In
collaboration with the Registrar, this position plays a key role in the coordination of the annual
commencement ceremony.

PRINCIPLE RESPONSIBILITIES:

1. Records and Registration Clerk

Serves as primary to the Records Office phone system. Students and other clientele receive requested

service and correct information in a friendly and efficient manner, appropriate referrals are made; requests

are accurately answered and addressed in a timely and courteous manner; release of information follows

Data Privacy Act. Provides oversight for the Records Office student worker staff. Percent of Time: 25%

2. Primary Term Course Scheduling Coordinator

Coordinates and inputs the course set up timelines, edits, and windowing for fall/spring/summer terms.

Conducts troubleshooting and analyzes course schedule to ensure scheduling protocols are being followed.

Assists with the training of departmental schedulers and provides support when needed. Percent of Time:

3. On-Campus Course Scheduler

Understanding of established campus procedures for course changes, course messages, course restrictions.

Inputs and leads appropriate changes requested after the course input deadline for departmental/divisional

staff. Cancels courses and communicate cancelation to enrolled students. Percent of Time: 15%

4. Transfer Credit Load

Exports transfer coursework from uachieve to ISRS. Enters transfer, prior learning, and special exam credits

in ISRS. Percent of Time: 20%

5. Curriculum Management and EMS Duties

Assists with curriculum management input once curriculum proposals are approved.Enters preferences in

the EMS system as needed to assist with the optimization process. Assists with uachieve grad planner set-up

and implementation. Percent of Time: 10%

6. Commencement and Other Office Duties

Assists Registrar with the coordination of commencement purchasing, communications, and recruitment of

assistance from other staff and students. Maintains Records Office website and forms. Primary

procurement agent for the Records Office. Percent of Time: 20%

MINIMUM QUALIFICATIONS: (To facilitate proper crediting, please ensure that your application /

resume clearly demonstrate fulfillment of the following minimum qualifications.)

  • Customer service skills sufficient to provide effective general and specialized office support on the
telephone, in person and through email (this requires common courtesy, tact, interest in positive problem

solving, empathy and the ability to organize ideas logically).

  • Data entry knowledge and skills sufficient to review source documents, enter data into specific data
fields, and compile, sort and verify data accuracy before entering it.
  • Knowledge of standard computer software applications such as word processing, spreadsheets,
databases, and document imaging systems along with the skills to create, modify, manage, and protect

them.

PREFERRED QUALIFICATIONS:

  • Training experience.
  • Ability to solve complex situations utilizing critical thinking skills.
  • Demonstrates a knowledge of, an interest in, or experience with, diverse cultures and populations.
